The Management Services Division (MSD) at HQ is a division comprised of over 200 colleagues across Rome, UAE & India. The HQ division supports WFP's 18,000 humanitarians and is represented by 3,200 functional focal points present throughout all of WFP's offices. Within WFP, Management Services colleagues play an integral role in keeping WFP operations and programmes running smoothly and cost-efficiently, even in the toughest conditions, so the focus can remain on WFP's core mandate of serving our beneficiaries.

Our global service portfolio for WFP is focused on enabling operations and providing a duty of care to WFP's workforce. This includes providing infrastructure and emergency response capacity through sophisticated engineering services, light fleet management, delivering and maintaining the most fit-for-purpose facilities, measuring and reducing our environmental impact, managing our pool of assets, providing travel services for WFP employees, and humanitarian accommodation - with administration field support available in all these areas.

MSD is the strategic Business Partner that Enables WFP’s workforce and operations by driving performance with duty of care, sustainability, and innovation. Considering this, the UN System Booking Hub is a Global Share Service (GSS) designed to support UN organizations and the wider humanitarian community in accessing and managing essential operational services that facilitate coordinated field operations and emergency response. The platform provides a centralized, digital solution that integrates both customer-facing and back-office services across a range of service lines, including accommodation, mobility, facilities management and medical services. By leveraging digital innovation and fostering inter-agency collaboration, the UN System Booking Hub expands access to shared services, enhances service quality and efficiency, promoting harmonized service delivery across the UN system.

The team sist within the MSDB - Shared Services & Business Development branch and the intern will be an integrated part of the team, bringing his/her knowledge and interest to the role, a passion for customer-oriented support, digital tools and innovative ideas to the table in various areas of business development.

DUTIES AND RESPONSIBILITIES

Under the direct supervision of the Head of the Unit, the candidate will perform the following duties:

Support the delivery of UN System Booking Hub services

Provide customer care and operational support to the field network and service users.

Support the delivery of training sessions, webinars, and user guidance.

Contribute to communication and outreach activities related to UN System Booking Hub services.

Support service implementation and user engagement

Assist in the rollout and adoption of UN System Booking Hub services.

Support stakeholder engagement and respond to user inquiries.

Contribute to the development and dissemination of user information and guidance materials.

Support data analysis, reporting, and coordination

Collect and analyze service-related data and prepare reports, presentations, and other documentation when needed.

Contribute to the development of materials required by ongoing workstreams and projects.
