POSITION SUMMARY

The Human Resources Intern provides administrative and operational support to the HR team by assisting with employee records management, document digitization, event coordination, and general office administration. This position offers hands-on experience in HR operations while supporting initiatives that improve recordkeeping, employee engagement, and departmental efficiency. This role is an on-site position supporting Human Resources at Hale Products in Ocala, FL.

Hale Products is a leading manufacturer of fire pumps, valves, and foam systems, delivering reliable water flow solutions trusted by fire and emergency response professionals worldwide. It operates as a business unit within IDEX Corporation’s Fire & Safety group, alongside other major rescue and fire‑protection brands.

WORK SCHEDULE

Flexible part-time schedule based on departmental needs and intern availability.

DURATION

6 months from date of hire but may vary based on business needs.

DUTIES AND RESPONSIBILITIES

Scan, upload, and organize employee and HR-related documents.

Maintain and update physical and electronic personnel files.

Audit employee files for completeness and accuracy.

Assist with document retention, archiving, and records management projects.

Ensure confidential information is handled appropriately and securely.

Help distribute communications, promotional materials, and event-related resources.

Assist with planning, preparing, and facilitating employee engagement events and activities.

Assist with preparing HR packets, forms, and correspondence.

Support scheduling, filing, copying, and other routine administrative functions.

Support the organization and upkeep of HR storage areas, supply closets, and departmental resources to maintain an efficient, orderly, and well-stocked work environment.

Assists with special projects or other duties as assigned.

KNOWLEDGE, SKILLS AND REQUIRED ABILITIES

Strong organizational skills and attention to detail.

Ability to maintain confidentiality and handle sensitive information professionally.

Basic proficiency in Microsoft Office applications (Word, Excel, Outlook, and PowerPoint) and Adobe Acrobat.

Strong interpersonal and communication skills.

Ability to prioritize tasks and work independently or as part of a team.

EDUCATION AND EXPERIENCE

Currently enrolled in or recently graduated from a degree program in Human Resources, Business Administration, Management, Communications, or a related field.

Previous administrative, office, customer service, volunteer, or internship experience preferred.

Basic proficiency in Microsoft Office applications (Word, Excel, Outlook, and PowerPoint) required.

Proper use of personal protective equipment (PPE) is required.
